Processing of personal data

Donors

To collect donations and keep donors informed about their contributions and KVP’s activities, KVP processes donors’ names, addresses, email addresses, financial details, and paper authorizations linked to bank accounts. KVP processes this data in order to fulfil its agreement with the donor. Financial records are retained for seven years after the relevant fiscal year. All other data is deleted no later than two years after the donor relationship has ended.

Website visitors 

KVP uses cookies to ensure the website functions properly and to analyse website and database usage statistics. For this purpose, KVP processes IP addresses, technical browser information, cookie IDs, and click and browsing behaviour.

For statistical analysis, KVP uses Google Analytics with the privacy-friendly settings recommended by the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).

This means:

  • the last octet of the IP address is masked
  • data sharing with Google is disabled
  • no other Google services are used in combination with Google Analytics cookies

KVP has a legitimate interest in processing this data, with minimal impact on visitors’ privacy due to the safeguards in place. The data is retained for no longer than five years.

Newsletter subscribers 

Individuals can subscribe to KVP’s newsletter via the website. To send the newsletter, KVP processes the subscriber’s email address.
This data is processed based on the subscriber’s consent. The subscriber may withdraw consent at any time, upon which the data will be deleted immediately.

Individuals submitting questions 

When responding to questions, KVP may process the individual’s name, email address, phone number and/or postal address, as well as any information contained in the question or response.
This data is processed based on KVP’s legitimate interest in being able to respond to inquiries, with limited impact on privacy.
Data is deleted no later than six months after the question has been answered.

Customers purchasing goods or services 

Through the website or by other means, individuals can purchase goods or services from KVP, such as Margriet pins. To fulfil such orders, KVP processes data including name, address, email address, and payment information.
This processing is necessary for the performance of a contract.
Financial records are retained for seven years after the relevant fiscal year, while all other data is deleted no later than two years after the transaction date.

Event attendees 

When KVP organizes meetings or events, photographs may be taken for inclusion in KVP publications or reports. These photos may include visitors. KVP will ensure that individuals are as unrecognizable as possible, and where visitors are identifiable, KVP will request their consent prior to publication.

If obtaining consent is not reasonably possible or if photos are taken and published for journalistic purposes, KVP may rely on a legitimate interest to make and use such images—only after determining that doing so is proportionate to the publication’s purpose and that no alternative means exist to achieve the same result without including identifiable individuals.

Photos are deleted once the purpose for which consent was granted has been fulfilled. In cases where no consent was obtained, photos may be archived as long as they remain of historical or social relevance to KVP’s mission and objectives, provided retention remains proportionate and necessary.

Suppliers

For the procurement of goods and services and related financial transactions, KVP processes personal data of suppliers who are not legal entities and of employees of supplier organizations. This may include name, address, order details, and financial information. 
KVP has a legitimate interest in acquiring goods and services and handling financial transactions properly, with minimal impact on the privacy of (contact persons of) suppliers.
Financial records are retained for seven years after the relevant fiscal year, and other data is deleted no later than two years after the business relationship ends.

Other KVP relations

KVP processes names, business details, and contact information of individuals representing funds, foundations, business sponsors, external partners, and other organizations relevant to KVP’s mission.
Processing this data is necessary for the performance of KVP’s public-interest objectives. Individuals may object to the processing of their data for reasons related to their specific situation.
Personal data is deleted upon request or no later than one year after the relationship ends.
Financial records are retained for seven years after the relevant fiscal year.

Rights of data subjects 

Under the General Data Protection Regulation (GDPR), you have specific rights that you may exercise under certain conditions. You have the right to ask KVP whether it processes your personal data and, if so, to access, correct, or delete it.

You also have the right to withdraw your consent for data processing or to object to the processing of your data by KVP.

In addition, you may have the right to data portability. This means you can request that KVP provide your personal data, which is processed in an automated manner, in a digital format to you or to another organization you specify.

 Finally, you can request that the processing of your personal data be restricted—for example, if you believe your data is inaccurate and should not be used temporarily.

Data security and disclosure to third parties 

KVP employs careful security procedures to protect personal data, ensuring that unauthorized persons cannot access it. Access is granted only to those who need it to perform their tasks.

KVP does not share collected personal data with third parties, except with parties acting on behalf of and under the responsibility of KVP. Data is not processed outside the European Economic Area (EEA).
